Privacy Notice

OSA International Inc. (“OSA,” “we,” “us”) provides this notice to explain how we handle personal information collected through the OSA Production website and the OSA Operations website (together, “the websites”). It applies to crew, freelancers, staff, and others to whom OSA grants access.

This notice describes our information practices. It does not alter the terms of your engagement with OSA, which are governed by your separate written agreement with us.

Information we collect

The categories below describe what we hold about you:

• Identity and contact information, including the emergency contact you nominate.
• Government identification and travel documentation. Carriers and border authorities require these in order to ticket you.
• Travel and logistics preferences, including any dietary requirements relevant to catering and accommodation.
• Engagement and payment information, including your engagement status and the insurance and qualifications we require of you.
• Photographs, used to identify you on site. See Photographs below.
• Records of your work with OSA, such as the projects you are assigned to, schedules, travel arrangements, and your responses to project offers.
• Account and technical information, such as your sign-in details, website access records, and IP address.

These examples are illustrative rather than exhaustive. The specific fields we collect are shown on the forms where we collect them.

How we use this information

We use personal information to:

• staff, schedule, and deliver projects, and to communicate with you about them;
• arrange travel and accommodation, including satisfying the identification requirements imposed by carriers and border authorities;
• obtain the credentials that allow you access to client and venue sites;
• pay you and meet our tax, insurance, and record-keeping obligations;
• respond to emergencies and meet health and safety requirements on site;
• verify that insurance we require of you remains current; and
• secure our systems, investigate misuse, and resolve technical problems.

When we share it

We disclose personal information in the following circumstances:

• Clients, venues, and credentialing providers. To arrange your access to a site, we provide the information required to issue credentials and admit you, which typically includes your name, photograph, role, and working dates.
• Travel and accommodation providers. To make and manage bookings on your behalf.
• Service providers. Vendors that operate parts of our systems and business functions on our behalf, subject to contractual obligations to protect the information.
• Advisers and authorities. Where necessary to obtain professional advice, to comply with law, or to protect the rights, property, or safety of OSA, our personnel, or others.

We do not sell personal information, and we do not use it for advertising.

Photographs

We collect a photograph of you so that OSA personnel, clients, venues, and credentialing providers can identify you on site.

OSA does not use photographs for facial recognition or biometric identification, and does not create or retain face templates, scans of facial geometry, or other biometric identifiers derived from them.

Where a project requires it, we provide your photograph to the client, the venue, or the credentialing provider responsible for site access, so that credentials can be issued. Those organizations process your photograph under their own policies and terms, which OSA does not control. If you have questions about the credentialing arrangements for a particular project, raise them with your Project Manager before the project begins.

Cookies

The websites use only the cookies necessary to authenticate you, maintain your session, and remember basic interface preferences. We do not use advertising cookies, analytics cookies, or third-party tracking.

Security

We maintain administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, disclosure, alteration, and loss, and we limit access to those who need it. No system can be guaranteed to be completely secure. If you believe your account has been compromised, contact us using the details below.

Retention

We retain personal information for as long as it is needed for the purposes described in this notice, and for as long as required to meet our legal, tax, insurance, and contractual obligations. If you would like your information reviewed or removed, contact us and we will explain what we are able to do and what we are required to retain.

International transfers

OSA is based in the United States and operates its systems there. If you are located outside the United States, the information described in this notice is transferred to, stored in, and processed in the United States. There it may be subject to access by United States courts, law enforcement, and regulatory authorities under United States law.

Where you work outside your country of residence, we may also be required to provide information to immigration, customs, venue, or client authorities in the country in which the work takes place.

Your information and how to reach us

You can review and update much of your information directly on the OSA Production website. You may also contact us to ask what information we hold about you, to correct it, or to request its deletion. Depending on where you live, additional rights may be available to you under local law. Tell us where you are located when you contact us and we will apply the rights available to you.

Changes to this notice

We may update this notice. The effective date shown at the top of this page will change when we do, and we will take reasonable steps to bring significant changes to your attention.
